Application Process Elective Programme UGM – IFMSA 2011/2012

STEP I
How to join in SCOPE exchange program?

  1. Contacting Local Exchange Officer (LEO) in to get Application Form (AF)
  2. Check the EXCHANGE CONDITION in http://ifmsa.net/public/ecscopeselect.php
  3. Outgoing students should choose 4 countries where you want to have clerkship in, before July 2011, then.
  4. Delegations of CIMSA will make efforts of students’ exchange contracts in IFMSA General Assembly – August Meeting 2011

STEP II
Outgoing students : Confirmation, agree ‘yes’/not

STEP III
If yes, Students have to:

  1. Pay € 150 of total € 260 (Exchange Fee), For Gadjah Mada University, students have to pay extra $220 for: $100 enrolment, $120 course fee / 4 weeks
  2. Fill contract letter of exchange
  3. Get the e-AF
  4. Start to prepare the requirements of each country (letter of enrollment, traveler inscurance, etc). You can see this information from Exchange Condition http://ifmsa.net/public/ecscopeselect.php
  5. Collect all those needed documents to your LEO before February 10th 2012

*LEO will bring them to National Exchange Officer (NEO) and they will be brought to IFMSA General Meeting

STEP IV

  1. LEO contacts the Secretariat of International Affairs
  2. Secretariat of International Affairs and Student Service issues the applicant with the Application Form or the applicant may visit (links) for downloading application form
  3. Applicant reads the Elective Programme overview, completes the application form (Appendix A) and collects the relevant supporting documentation. Once completed, applicant checks the checklist on the application form:
    • Letter of Recommendation from the Dean of applicants’ home institution
    • Curriculum Vitae
    • A copy of Passport.
    • A letter of statement that you will not engage in a job and will obey the Indonesian Law and Regulations.
    • An outline (proposal) describing the specific purpose and expectation joining the elective programme at the department you wish to apply.
  4. The Secretariat of International Affairs and Student Service Faculty of Medicine-UGM process the application. Once satisfied the application meets the requirements, he/she forwards the application to the Elective Programme Coordinator and PIC of the nominated department.
  5. The PIC of nominated department reviews the application and organizes the placement. He/she confirms the placement and approval to the Secretariat of International Affairs and Student Service (within 2 weeks). Should a place not be available at that department, Secretariat will contact the applicant to discuss possible alternatives.
  6. A Letter of Acceptance from the Universitas Gadjah Mada, will be sent to the applicant. This letter will confirm the details of the placement. The placement is not confirmed by Secretariat until this letter has been issued.

STEP IV
1. Students will get Card of Acceptance (CA) and Invitation Letter (IL) from your destination country.
2. Students must fill and send Card of Confirmation (CC) to their destination country.
3. LEO must give student hand book before the clerkship starts.
4. Students are ready to start the clerkship.

STEP V
1. Outgoing students should fill the evaluation form which is brought by LEO
2. Outgoing students should show the SHB and ask for LEO’s signature for their certificate

Note:
All documents related for application process as mentioned above should be submitted to Secretariat of International Affairs and Student Service- Faculty of Medicine Universitas Gadjah Mada at least 3 months prior to the desired commencement date of the elective programme.
Students incoming for elective program : 5 / year
